Overview

Are you seeking an integral role in office operations? As a Safety Administrative Assistant, you will be the cornerstone of our Health and Safety team, managing data entry, addressing employee inquiries and coordinating Safety Administrative activities. Your efforts will directly contribute to the smooth functioning of our projects Divisions.

What you will be doing

  • Logging and tracking of incident and accident reports.
  • Proactively reviewing incident reports for quality control.
  • Tracking and disseminating insurance claims information.
  • Provide Safety Training and new hire orientation and onboarding to staff on a regular basis.
  • Process safety related invoices.
  • Coordinate and submit safety department expense reports in a timely manner.
  • Help administer the safety awards program.
  • Maintain records and tracking of Workplace Violence Prevention (WPV) incidents per California requirements.
  •  Facilitate annual renewal and submission of Cal/OSHA permits.
  • Serve as a point of contact for scheduling and coordinating third party safety training providers.
  • Receives incoming telephone calls, messages, mail and packages to office and directs to the appropriate person in a courteous and customer service oriented manner.
  • Performs data entry support for office and department needs, including timecard entry, training information, and expense reports.
  • Supports employee day-to-day inquiries, working closely with human resources to resolve issues for employees.
  • Perform additional assignments per management’s direction.
  • Performs a variety of clerical duties, including making copies, typing memos, correspondence, reports and other documents as directed. 
  • Maintains knowledge of Company’s values and strategic plan.
  • Support published corporate policies.

What we are looking for

  • High School Diploma or GED required.
  • 2+ years related administrative or clerical experience required.
  • Developing knowledge of construction industry and project business procedures.
  • Familiarity with OSHA 300 and Safety documents preferred.
  • Must be comfortable presenting information to one or more staff members at a time. 
  • Advanced proficiency in Microsoft Excel and Power BI, with demonstrated ability to analyze data, create pivot tables, and build reports. Experience with cloud-based systems and safety management software, such as Origami, is a plus.
  • Proven initiative, organization and self-prioritization required.
  • Friendly disposition and customer service attitude required.
